Introduction
In order for us to provide an efficient and accurate service we are required to collect some of your personal information and share this with other organisations. We will only collect and use personal data in ways that are described in this document, in a way that is consistent with our obligations and your rights under the law.
What Data will we collect and use?
- Your name, address and date or birth (to check eligibility for a service plan)
- Your phone number and email address (so we can contact you as necessary for the purposes outlined in this notice)
- Your bank details (collected via our registered third-party Stripe in order to take payment for the service plan)
- Information on your current heating system
Providing your Personal Data
We will discuss which personal data is optional to provide. However, in some cases you must provide your personal data in order for us to enter into a service agreement with you.
How we use your personal data
- As necessary to fulfil our contract with you, e.g. to manage and undertake your service agreement
- As necessary to pursue our legitimate interests, e.g. to check your suitability for a service plan, contact you to discuss your plan and arrange payment and share with third parties where necessary
- As necessary to comply with a legal obligation, e.g. when you exercise your rights to make requests under data protection law
Where we share your personal Data
With any relevant companies supporting the service plan, the service engineer, technical monitoring agents, external auditing agencies, building control inspectors, your heat pump manufacturer software providers and our office staff
Anyone else where is required by law, where you have been notified of the sharing or for whom we have your consent.
The information you provide may be transferred to 3rd parties outside of the European Union. However, this will only take place where this is necessary for the purpose outlined above. We will ensure all appropriate safeguards, including those set out by the ICO are in place to protect your data before any transfer takes place.
Your data will only be processed for purposed relating to your service plan unless you have specifically consented otherwise.
How long will we keep your data?
We may retain your personal data for up to seven years after the plan ends, in line with HM Revenue and customer record management and ICO guidelines.
Your rights, including accessing your data
You have certain rights regarding information held about you by the Controller (these do not apply in all circumstances) These include the right:
- To access your personal data
- Be informed about our processing of your personal data
- To have incorrect data corrected
- To move, copy or transfer your personal data
- To have your personal data removed
- To have the processing of your personal data restricted, or to object to the processing of your personal data
- To complain to the Information Commissioner’s Office
